Privacy Policy

Helppa ("we", "our", or "us") operates the Helppa scheduling assistant service, accessible at helppa.io and app.helppa.io. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information.
By using Helppa, you agree to the practices described in this policy.
1. Information We Collect
We collect the following categories of information to provide and operate the service:
- Google account information — your email address and display name, obtained when you sign in with Google.
- Google Calendar data — your free/busy availability, used solely to find open meeting slots and create calendar events on your behalf. We do not read the title or details of existing events.
- Chat content — when a guest opens one of your scheduling links and talks to Jane, we store the messages exchanged in that chat session so the conversation can resume on refresh and so you can review it from your dashboard. We do not read your Gmail or any other email account.
- Usage data — basic logs such as the number of scheduling sessions started and meetings booked, used for service operation and monitoring.
2. How We Use Your Information
We use the information we collect exclusively to operate the Helppa scheduling service:
- To present scheduling links and let guests chat with Jane to book meetings with you.
- To check your calendar availability and propose meeting times.
- To create calendar events on your calendar when a guest confirms a time.
- To send transactional emails on your behalf — booking confirmations to you, and invitations when you add a teammate who isn't a Helppa user yet.
- To deliver service notifications in your dashboard.
We do not sell your data, use it for advertising, or share it with third parties for any purpose other than operating the service.
3. Google API Scopes
Helppa requests the following Google API permissions when you connect your account:
- Gmail — send on your behalf — used only to send transactional emails from jane@helppa.io: booking confirmations to you and invitations to teammates you add. Helppa never reads your Gmail inbox.
- Google Calendar — read/write — to check your availability and create meeting events when a guest books through your scheduling link.
Helppa's use of data obtained via Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.
4. Meeting Recorder (Browser Extension)
Helppa offers an optional Chrome browser extension that records your meetings and turns them into transcribed notes. The extension only acts when you explicitly start a recording.
- Audio recordings — when you click Record, the extension captures the audio of your Google Meet call (the call audio together with your microphone) or, for in-person meetings, your microphone only. Recording is announced to everyone in the call by Google Meet's recording indicator.
- Meeting metadata — the meeting title, start/end time, and the Google Meet URL (used to link the notes to the meeting).
- Authentication token — a connection code you generate in Helppa and paste into the extension, stored locally in your browser so the extension can send recordings to your account.
How recordings are processed. The recorded audio is uploaded to cloud storage and sent to our transcription provider to produce a transcript with speaker labels, which is then summarized into minutes. We retain the audio recording securely in your account so you can re-run the transcript (for example in another language) and so a failed transcription can be retried without re-recording. The audio is deleted when you delete the meeting from the Meetings page, or at any time on request. The resulting text (transcript and minutes) is kept in your Helppa account until you delete it.
Meeting audio and transcripts are used only to generate your notes. We do not sell this data, use it for advertising, or use it to train AI models. The extension does not collect your browsing history and accesses a browser tab only at the moment you start a recording on it.
5. Data Storage and Security
Your OAuth tokens and configuration are stored securely on our servers and are never shared or exposed. We use industry-standard encryption in transit (HTTPS/TLS) for all data. Access to stored credentials is restricted to the service processes that require them.
We retain your data for as long as your account is active. You may request deletion at any time by contacting us at jane@helppa.io.
6. Third-Party Services
Helppa uses the following third-party services to operate:
- Google (Gmail & Calendar API) — for calendar access and email sending.
- Anthropic Claude — to power the AI chat that talks to your guests and to summarize meeting transcripts into minutes. Content sent for processing is covered by Anthropic's Privacy Policy.
- Replicate (WhisperX) — when you use the meeting recorder, your recorded audio is sent to Replicate to generate a transcript. Replicate's Privacy Policy applies to that processing.
- Google Cloud Storage — used to store meeting audio so transcripts can be re-run and failed transcriptions retried; the audio is removed when you delete the meeting.
7. Your Rights
You have the right to:
- Access — request a copy of the data we hold about you.
- Deletion — request that we delete your account and associated data.
- Revoke access — disconnect Helppa at any time via your Google account permissions page. Revoking access stops all scheduling activity.

8. Children's Privacy
Helppa is not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.
9. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Continued use of the service after changes constitutes acceptance of the updated policy.
